Language Planning Checklist

How to streamline your open enrollment strategies

Language access isn’t a nice-to-have for health insurance open enrollment; it’s legally required. Affordable Care Act (ACA) section 1557 mandates it, as do the Centers for Medicare & Medicaid Services (CMS). The CMS has addressed translation and language access in 42 CFR 422.2267, requiring organizations offering Medicare Advantage plans to translate required materials into non-English languages spoken by at least 5% of the population in the plan service area. Translation accuracy is critical in your open enrollment strategies, as even minuscule wording changes in coverage terminology can trigger noncompliance or lead to misunderstandings among members or enrollees.

Beyond compliance, using insurance translation services with your open enrollment materials is good business practice. Members and new enrollees will have better customer experiences when they have well-translated enrollment materials and interpreter access. They’ll also select the right coverage for their needs and use their benefits correctly all year. Notably, resources for interpretation services can be especially difficult to book during the months of open enrollment, particularly for rare and indigenous languages. So, it’s vital to proactively work with language solutions integrators.

Use this checklist to help you build language support into open enrollment 2026 planning from early on in your process. The list provides steps to help you ensure compliance requirements, meet tight approval timelines, smoothly handle changing content needs, and plan for necessary interpretation services. Download the checklist to prepare for open enrollment and achieve streamlined workflows while reducing costs and team workload during this busy period.
